Privacy Policy

BB343 builds and runs AI chatbots for other businesses' websites. This policy explains what personal information we collect, why we collect it, who else sees it, and what you can ask us to do about it. We operate from Ontario, Canada and follow the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada's federal privacy law for private businesses.

Who this policy covers

It covers two different groups of people, and the difference matters:

  • Visitors to this website, and business owners who contact us about our service. For this information, BB343 is the organization responsible.
  • People who chat with a chatbot we built for one of our clients. There, the business that hired us decides what is collected and why. We handle that information on their behalf and under their instructions. If you want to know how a particular business uses your chat, ask that business.

What we collect

From this website:

  • Standard server logs kept by our hosting provider: IP address, browser type, the pages requested and the time they were requested. We use them to keep the site online and secure.
  • One item stored in your browser for the length of your visit, recording that the opening animation has already played so you do not sit through it twice. It disappears when you close the tab. We do not use advertising cookies or analytics trackers.

When you send us a request through the form on this site: your name, business name and email address, plus anything else you choose to add: phone number, website, industry, which plan interests you, what you want a chatbot to handle, and your notes.

If you become a client:

  • The business information you send us so we can train your chatbot: services, prices, FAQs, policies and documents.
  • Contact and billing details.
  • The conversations your chatbot has with your customers.

From chatbot conversations we run for clients: whatever the visitor types, which usually includes their name, phone number or email address and details about the job they want done, along with the date, time, the page the chat started from and a transcript of the conversation.

We do not ask for sensitive information such as health details, government identification numbers or payment card numbers, and we ask you not to send them to us.

Why we collect it

  • To answer your enquiry and prepare a quote.
  • To build, train, install, run and support your chatbot.
  • To deliver captured leads to the business that owns the chatbot, by text message, email and a Google Sheet.
  • To keep the chatbot's answers accurate, by reviewing where it got something wrong and correcting it.
  • To invoice for the service and keep the records the law requires.
  • To protect the service against abuse and fraud.

We do not sell personal information, and we do not use it for advertising.

Consent

Sending us the request form means you are asking us to contact you about it, and consenting to that.

People who chat with one of our chatbots are told they are speaking with an automated assistant. They choose what to share, and giving their contact details is their consent to be contacted about the job they are asking about.

You can withdraw consent at any time by emailing businessbuilder343@gmail.com. Some things cannot continue without it. If you withdraw consent while we are running your chatbot, we may no longer be able to provide the service.

Who else sees it

We rely on other companies to run parts of the service. Each receives only what it needs:

  • Website hosting and content delivery (Cloudflare or Netlify).
  • Delivery of this site's request form (FormSubmit).
  • Email delivery (Google).
  • Text message delivery (our messaging provider).
  • Spreadsheet delivery, where leads are written into a Google Sheet (Google).
  • The artificial intelligence provider whose model generates the chatbot's replies.

We may also disclose information where the law requires it, for example in response to a valid court order, or where it is needed to establish or defend a legal claim.

Some of these providers store or process information outside Canada, mainly in the United States. While information is in another country it is subject to that country's laws, and courts or government authorities there may be able to require access to it.

How long we keep it

  • Enquiries that do not become clients: up to 24 months, then deleted.
  • Client records and business information: while we work together and for 12 months afterwards, unless we must keep them longer. Canadian tax rules generally require business records to be kept for six years.
  • Chat transcripts: 12 months by default, or whatever period we agree with the client.

How we protect it

Access is limited to the people who need it to do the work. This site and our forms use encrypted connections. The accounts we use are protected with strong passwords and, where the provider offers it, two-factor authentication. No system is completely secure, so we cannot promise absolute safety.

If a breach ever creates a real risk of significant harm to someone, we will notify the people affected and the Office of the Privacy Commissioner of Canada, as PIPEDA requires.

Your rights

You can ask us to show you the personal information we hold about you, correct it if it is wrong, delete it, stop using it, or explain how it has been handled.

Email businessbuilder343@gmail.com and we will respond within 30 days, which is the time PIPEDA allows. We may need to confirm who you are before releasing information.

If our answer does not satisfy you, you can complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca or 1-800-282-1376.

Emails we send

If you contact us or become a client, we may send you emails about the service. Every commercial email includes a way to unsubscribe, and we act on it within 10 business days, as Canada's Anti-Spam Legislation requires. Replies to your own request, and invoices, are service messages rather than marketing.

Automated conversations

Our chatbots generate their replies automatically, and those replies can be wrong or incomplete. They do not make decisions that have legal consequences for anyone. Anything that matters should be confirmed with the business directly.

Children

This service is sold to businesses and is not directed at children. We do not knowingly collect personal information from children under 13.

Other websites

Our chatbots run on our clients' websites, and those sites have their own privacy practices. This policy covers only what we do.

Changes to this policy

We update this policy when our practices change. The date at the top of this page shows the last revision.
